Refund, Credit & More Policies

The outlined policies are effective for Summer ‘25.


1. Refund – Registered customers must notify Tahoe Summer Camps by email 60+ days prior to the associated camp start date to receive a refund or credit for paid registration less 10% for online processing and administrative fees. Please email Camps Manager, Alex Peugnet at apeugnet@tahoeexpeditionacademy.org to process.                                                        

2. Refund or Credit – Customers who cancel by email 31 – 60 days prior to their respective camp start date are eligible to receive a refund or credit for a future Tahoe Summer Camps offering minus 25% of the paid registration. Please email Camps Manager, Alex Peugnet at apeugnet@tahoeexpeditionacademy.org to process.

3. A Refund or Credit is not available if a cancellation is made 30 days or less prior to their child’s respective Camp start date. Unless the cancellation is health related and is accompanied by a doctor’s note – see Health Policy below for refund options.

4. A Refund or Credit is not available if a cancellation is made 30 days or less prior to their child’s respective Overnight Camp start date.

5. Credits from Summer ‘25 can be applied through Summer ‘27 only. Afterwhich these credits will be cleared from applicable customer accounts. Credits are good for two summers after they are issued.

 


Wildfire + Air Quality Index (AQI) Credit Policy


While we’re hopeful that wildfires are less severe this summer, science indicates that wildfires and poor AQI will continue in the Western US.

1. Policy – In the event AQI is forecast to be 151 or above (for a moderate portion of the camp day) we will cancel camp and issue future credits less 25% of the paid registration fee for this missed day of camp. If camps are canceled we will notify camp families before 8:00AM of the impacted camp day. Note this cancellation typically does not impact overnight camps like: Backpacking, Mammoth Expeditions or Rafting Trips. 

2. AQI Camp Modifications – If the AQI is below 151, and in the Unhealthy for Sensitive Groups range (101-150), we will modify activities accordingly to protect campers, by reducing outdoor activities / strain and building in plenty of break between activities. As this range 100-150 is also problematic for individuals with respiratory issues, as well as our youngest campers. Outdoor adventures for our youngest campers may be rescheduled as well, to avoid exertion outside / on the trail.

3. About Air Quality IndexNOAA explains that, ‘The Air Quality Index (AQI) is used for reporting daily air quality. It tells you how clean or polluted your air is, and what associated health effects might be a concern for you. The AQI focuses on health effects you may experience within a few hours or days after breathing polluted air. EPA calculates the AQI for five major air pollutants regulated by the Clean Air Act: ground-level ozone, particle pollution (also known as particulate matter), carbon monoxide, sulfur dioxide, and nitrogen dioxide. For each of these pollutants, EPA has established national air quality standards to protect public health. Ground-level ozone and airborne particles are the two pollutants that pose the greatest threat to human health in this country.’


ADDITIONAL POLICIES & EXPECTATIONS


Health Cancellation Policy: If your child exhibits Influenza or COVID like symptoms they are required to stay home / not attend camp. To ensure everyone’s safety and wellbeing, and to ensure camps continue to run in full, we ask that these instances and ailments are reported in an honest and timely manner. If symptoms don’t clear during the assigned camp week we will issue a prorated credit less 25% for camp. A doctor’s note and email notification to Camps Manager, Alex Peugnet at apeugnet@tahoeexpeditionacademy.org is required for processing.

Expectations: I understand it is essential that I communicate with the Program about any details that may affect the Participant’s experience in the Program. These details may include learning styles, physical or medical conditions or disabilities, behavioral issues, and emotional needs. In addition, I agree to keep the Program informed of any living and custody arrangements and any changes to those arrangements that may affect the Participant’s experience in the Program. The Program expects parents, including those who are separated or divorced, to cooperate in the Participant’s best interests with respect to the Participant’s experience in the Program, including avoiding being disruptive to the Participant’s experience in the Program. I understand that the Program Director (or the Director’s designee) reserves the right to dismiss the Participant when, in the Program Director’s judgment, the Participant’s behavior, or the behavior of anyone associated with the Participant (whether on or off campus, and whether during the summer or otherwise), interferes with the rights and safety of others or
